# FreeWIS Account and Data Deletion Notice **Effective for FreeWIS native v1 in the United States · Adopted September 16, 2026.** ## What you can request You may ask **Hudson Consulting and Training, LLC** ("HCT") to delete your HCT-hosted FreeWIS account and associated personal information, or specific information about you. This includes requests concerning public PLAY, standalone CHAT, an HCT-provided mobile or desktop client used for those services, and GET or support correspondence where applicable. You may also request access to or correction of your information as described in the [Privacy Notice](https://freewis.com/privacy). The process is available to current or former users, people without an account and authorized representatives. You do not need an active or paid FreeWIS account to contact us. A sign-in account does not establish authority over another person's information. Agency production systems and agency records are governed by the applicable agency arrangements. Contact the responsible agency about those records. If you are unsure whether HCT holds relevant information, contact us with a minimal description; this public notice does not authorize HCT to delete an agency's records. ## Request from a browser or an HCT client Email [FreeWIS Support](mailto:freewis.support@hudsonct.com) at **freewis.support@hudsonct.com** with the subject **“FreeWIS account or data deletion request.”** You can do this from a browser or device, including when you cannot sign in or no longer have the HCT client installed. Tell us which FreeWIS account or information you want us to locate, which service you used if known, and an address where we can reply. State whether you want account-and-associated-data deletion or a narrower action. A conversation location, approximate date or other minimal locator may help. **Do not send passwords, sign-in codes, payment-card details, real-case content or sensitive attachments.** Do not email identity documents unless HCT has arranged a necessary secure verification method. If you are reporting information about someone else, identify its location without repeating it. Opening your email application does not send a request. Send the message there and retain your correspondence. If an HCT client offers an additional deletion-request control, its confirmation will identify whether the request was received or whether you must complete a further step. A request receipt is not confirmation that deletion has finished. ## Verification and scope An authenticated in-app request ordinarily supplies the account identity for the request. HCT may still ask for proportionate information needed to locate the relevant records, clarify scope, or verify representative authority. We will arrange an appropriate method if sensitive verification information is necessary. We will not ask for your Google, Microsoft, Apple or other platform password. We may need to clarify which account, conversation, file or service is covered, particularly when identities differ across services or when information affects other people. Requests cannot authorize access to or deletion of another person's information without a valid basis. If we cannot safely locate the record, verify authority or perform the action as requested, we will explain the limitation. An account-deletion request may involve account/profile and provisioning records, conversation content, uploads, shared-message attribution, generated artifacts and related personal information. HCT will assess the records it controls and explain the action taken and any limitation. Removing a user account document, ending a PLAY period or disabling access alone does not establish deletion of every associated record. For Team collaboration, HCT deletes the departing participant's eligible personal data while preserving the remaining participants' eligible replies and access under their existing retention rules. Preservation does not restart or extend those rules and does not create a permanent archive. Quotes, replies or attachments containing the departing participant's personal information remain subject to applicable rights review; authorship by another participant does not by itself decide whether that information must be retained, restricted or deleted. ## Signing out, uninstalling and subscriptions are different Signing out or uninstalling an HCT client does not by itself delete information held by HCT or its providers. Removing information from a device is different from deleting hosted account and service records. Copies you or other recipients exported or saved on their own devices may require separate handling; HCT cannot promise to erase copies it does not control. If you have a paid subscription, requesting account deletion or removing the app does not by itself cancel recurring billing or request a refund. Use the applicable purchase provider's subscription-management or refund process and check its confirmation. Contact support if you need help identifying the purchase channel. HCT will not require an unrelated purchase or cancellation as a condition of handling an applicable privacy request. This notice creates no paid offering or subscription. **Deleting a FreeWIS account does not delete your Google, Microsoft, Apple, store or other external identity account.** Those accounts remain subject to the relevant provider's own controls and terms. ## Information that may require separate handling The [Privacy Notice](https://freewis.com/privacy) describes ordinary retention and the limited purposes that may justify keeping particular information after access ends or a deletion request is handled. These can include necessary acceptance/admission evidence, a relevant security incident or restriction record, an actual dispute or legal obligation, and a specific lawful preservation hold. Where a purchase exists, necessary transaction records may also be subject to applicable records requirements. Any retained information must remain limited to its justified purpose, with appropriate access restrictions and review of the continuing need. Retention is not permission to keep the material in ordinary participant use, and a general business preference does not override an applicable privacy right. A public archive of legal document versions does not publish the identities of the people who accepted them. Protected backups and replicas may follow separate secured rotation and recovery cycles. Applicable deletions and restrictions must be reapplied if data is restored. HCT will explain material backup or preservation limitations when relevant rather than describing active-system deletion as erasure of every copy. Providers may hold separate copies under the actual service/account terms and applicable safety, security or legal requirements. This includes information already processed by Anthropic's API and copies in hosting, database or email services. HCT requests or coordinates deletion where available and appropriate; deleting ordinary FreeWIS history does not itself prove that every provider copy has been erased. See the [Privacy Notice](https://freewis.com/privacy) for provider information and retention qualifications. HCT may retain information that is truly de-identified or aggregated where permitted and no longer reasonably identifies a person. Renaming a person or regenerating a synthetic case is not, by itself, proof of de-identification of account information. ## Status, results and reconsideration Keep any request reference HCT provides. You may ask about status by replying to the request correspondence or emailing **freewis.support@hudsonct.com**, even after FreeWIS access ends. Do not include unnecessary sensitive information in a status request. HCT completes the standard deletion within **7 calendar days after HCT records receipt of the request** and emails completion confirmation. If identity or representative-authority verification or a specific legal constraint prevents safe completion, HCT promptly explains the issue, action needed and expected timing; that notice does not extend an applicable legal deadline. The completion confirmation explains the action taken and any specific retained-information, backup or provider limitation. A submission acknowledgement, verification message or “in progress” update is not a deletion-completion notice. HCT will not describe a partial or failed operation as complete deletion. You may ask FreeWIS Support to reconsider a response. Where law provides an appeal, HCT will describe the available process in its response. Nothing in this notice restricts an applicable right to contact the competent regulator or exercise another available remedy. If you ask to withdraw a request, HCT will assess whether pending work can be stopped. Information already deleted may not be recoverable. A new account or later PLAY admission does not restore deleted content or erase a continuing lawful restriction. The seven-day standard applies to HCT-controlled account information, ordinary PLAY content and unnecessary profile/provisioning data within the verified scope. It does not promise erasure of protected backups or independently retained provider copies within seven days. HCT keeps a minimal completed-deletion receipt for 90 days after completion and may retain only specifically justified evidence or holds as described in the Privacy Notice. This notice does not promise immediate erasure of every copy, and it is not a contract acceptance or waiver of privacy rights. ## Contact **Hudson Consulting and Training, LLC** · Mailing address: 7765 Wadsworth Blvd #740433, Arvada, CO 80006 · [**freewis.support@hudsonct.com**](mailto:freewis.support@hudsonct.com) Read the [Privacy Notice](https://freewis.com/privacy) and [Terms of Service](https://freewis.com/terms) for their respective subjects.
